By booking any type of language course at NovaMova — in any location or online, with or without accommodation — you confirm that you have read and agreed to these Terms and Conditions, including the cancellation, postponement, and refund policies. 

IN-PERSON COURSES IN KYIV

1. Registration

1.1. To participate in a language program, it is essential to register on the website and complete an application form no later than 2 weeks before the start of classes. If registration occurs after the specified time, School staff will nevertheless consider your application and do everything possible to ensure that your program and accommodation are arranged and provided in the best possible way. However, we cannot guarantee that your requests will be fully met. 

1.2. If a student has studied Ukrainian before, they should complete the placement test.

2. Language Course Structure and Organization

2.1. If a student enrolled in a group class is the only student present on a given day, the School reserves the right to replace group lessons with individual lessons at a 2:1 ratio (one individual lesson instead of two group lessons) at the same cost as the group lesson. Such adjustments may be made without prior notice to the student. 

2.2. The School reserves the right to transfer a student to a more suitable group or course if their language proficiency does not match the booked level. 

2.3. The School aims to maintain a consistent teacher throughout the course; however, teacher changes may occur due to illness, scheduling conflicts, or other circumstances without prior notice. 

2.4. Group course fees cannot be transferred to individual lessons under any circumstances. 

2.5. The School reserves the right to change the schedule and/or transfer students from one group to another or from one class time to another. 

2.6. Individual lesson frequency, duration, and schedule are arranged between the student and the School Administration before the start of the course. Once lessons have begun, students may request schedule adjustments directly with their instructor, subject to availability. 

2.7. If the School or teacher must cancel a lesson (group or individual), it will be rescheduled at a mutually convenient time at no additional cost. 

2.8. Course materials provided by the School are for the student’s personal use only and may not be published or distributed.

3. Lesson Cancellation and Rescheduling

3.1. Missed group classes cannot be rescheduled, refunded, or otherwise compensated. 

3.2. If an individual lesson is canceled more than 24 hours in advance, it may be rescheduled at no additional charge, subject to instructor availability. Lessons canceled less than 24 hours in advance are considered completed and are charged in full. All cancellations must be made in writing (by email or text message). 

3.3. Individual lessons may be shortened or rescheduled free of charge if notice is given more than 24 hours in advance. If a student shortens or delays a lesson with less than 24 hours’ notice, the full scheduled duration is charged as completed.

4. INTENSIVE COURSES: Payment Terms, Extension, Postponement and Early Termination Procedures

An intensive course is defined as a structured program consisting of 15 or more lessons of 45 min. per week. 

4.1. A course (with or without accommodation) is considered booked upon receipt of a deposit of EUR 100.00. 

4.2. The deposit is non-refundable under any circumstances. 

4.3. Course and accommodation fees must be paid in full no later than the first day of studies. Payment by installments is possible only by prior agreement with the School. 

4.4. Textbooks and visual aids are paid for separately. Supplementary materials provided are free of charge. 

4.5. The School reserves the right to suspend or cancel lessons if payment obligations are not met. 

4.6. Program Extension: 

Students may extend their studies. Prior notice (at least 1 week before the intended extension) guarantees a place in the preferred group or continuation of the same individual schedule, subject to availability. 

4.7. Program Postponement: 

4.7.1. The start date of a course may be postponed free of charge; at least 1 week's notice is appreciated. 

4.7.2. If the student needs to take a break during the course, such breaks are only available for full calendar weeks (Monday–Friday) and must be announced to the School Administration at least 1 week in advance. 

4.7.3. If a student postpones their studies, prepaid funds may be used within 12 calendar months from the original start date. 

4.8. Early Termination: 

4.8.1. The School Administration must be notified in writing of any early termination. 

4.8.2. For programs of less than 2 weeks, course and accommodation fees are charged in full. 

4.8.3. For programs longer than 2 weeks, if termination notice is given at least 1 week in advance, the cancellation fee equals 30% of unused funds (but not less than EUR 100.00, including bank fees). 

4.8.4. If no advance notice is given or notice is provided on the day of termination, the cancellation fee equals 70% of unused funds (but not less than EUR 200.00, including bank fees). 

4.8.5. Refunds, if applicable, will be processed within 60 calendar days. 

4.8.6. These clauses apply to direct bookings only. For bookings through partner agencies, the agency’s refund policy applies, and refunds are processed by the agency, not through NovaMova. We recommend that you contact the agency immediately to resolve the issue.

5. Part-Time Courses: Payment, Extension, Postponement, and Early Termination

A part-time course is defined as a structured program consisting of less than 10 lessons of 60 min. per week. 

5.1. The minimum duration of an in-person individual session is 120 minutes (two lessons of 60 min.). 

5.2. All course fees must be paid no later than the first day of studies according to the selected package. 

5.3. The School reserves the right to suspend or cancel lessons if payment obligations are not met.

5.4. The selected package is to be used within 6 calendar months from the original start date. Extensions beyond this period are only permitted if the student has given advance notice of course postponement. Please note: refunds are not available. 

5.5. Program Extension: 

5.5.1. Students wishing to extend their course beyond the initially paid package may do so, subject to schedule availability. 

5.5.2. The School cannot guarantee the same teacher or time slot for extended programs, though every effort will be made to ensure continuity. 

5.5.3. Additional lessons or extensions must be arranged and paid for before the current package expires. 

5.6. Postponement and Early Termination: 

5.6.1. If a student wishes to postpone or terminate their studies before completing all prepaid lessons, written notice must be provided to the School Administration. 

5.6.2. In both cases, no refunds will be issued for unused lessons. 

5.6.3. Any unused prepaid lessons may be rescheduled and used within 12 calendar months from the original course start date, either in person or online. After this period, all remaining lessons will be forfeited. 

5.6.4. The student must contact the School Administration in advance to reactivate postponed lessons and agree on a new schedule, subject to teacher and classroom availability.

6. Student Accommodation

6.1. In the event of booking any accommodation, a booking fee of EUR 30.00 is charged. This fee is non-refundable. 

6.2. Accommodation fees are paid to the School and must not be paid directly to host families or residences. 

6.3. Homestay prices are calculated per week, with each week running from Sunday (arrival) to Saturday (departure). Guests may book for any number of full weeks. Check-in is from 14:00 on Sunday, and check-out is by 12:00 on Saturday. Additional nights outside full weeks are charged separately. 

6.4. Full weekly rate applies regardless of nights stayed or meals missed. 

6.5. All issues regarding payment for accommodation and meals at a host family are resolved exclusively with the School administration, except for additional services not included in the accommodation price (extra laundry, telephone use, etc.). 

6.6. Students are responsible for reimbursing the School or host family for any damages caused. 

6.7. If the Student decides to change the dates of stay for any reason, the School must be notified at least 2 weeks prior to the planned arrival; otherwise, a fee of EUR 100.00 will be charged. 

6.8. The student reserves the right to extend his or her stay with a host family or in the preferred apartment by notifying the School administration in writing of his/her wish. In case of a previously made reservation with the same family or for the same apartment by another student, the student extending his or her stay will be offered an alternative option within a reasonable timeframe upon the School receiving such request. 

6.9. Early Departure: 

6.9.1. For stays of up to two weeks, accommodation fees are non-refundable. 

6.9.2. For longer stays with at least 7 days’ notice, a EUR 100.00 cancellation fee applies. 

6.9.3. For less than 1 week's notice, the cancellation fee equals the cost of one week’s stay. 

6.9.4 Clauses 6.9.1 – 6.9.3 apply to bookings made directly. If any type of stay is booked through any Partner agency, the agency’s refund policy will apply. The refund will be processed through the agency, not through NovaMova. We recommend that you contact the agency immediately to resolve the issue.

7. Transfers

7.1. For bus or train station transfers, students must inform the School of their arrival details (date, time, train/bus number, and terminal/station). 

7.2. Payment for transfers is handled through the School. 

7.3. If travel plans change, at least 2 days’ notice must be provided; otherwise, transfer costs will be charged. 

7.4. In case of bus or train delays, students must notify the School by phone or SMS; otherwise, the driver's waiting time (EUR 5/hour) will be charged. 

7.5. The School reserves the right to refuse a transfer if the student is intoxicated or behaves inappropriately.

8. ONLINE COURSES

8.1. The registration procedure, course structure and organization, and the rescheduling and cancellation policies outlined in Sections 1–4 apply fully to online lessons. 

8.2. All course fees must be paid no later than the first day of studies. The School may postpone class start dates until payment is received. 

8.3. The minimum duration of an online individual session is 45 minutes. 

8.4. The selected package is to be used within 6 calendar months from the original start date. Extensions beyond this period are only permitted if the student has given advance notice of course postponement. Please note: refunds are not available. 

8.5. The School is not responsible for technical issues on the student’s side that prevent participation in a lesson. 

8.6. If technical or other issues on the School’s side prevent the provision of lessons, a make-up lesson will be arranged; however, no refund will be issued. 

8.7. If a student needs to take a break from a group course, breaks are available only for full calendar weeks (Monday–Friday) and must be announced in advance. 

8.8. Postponement and Early Termination: 

8.8.1. If a student wishes to postpone or terminate their studies before completing all prepaid lessons, written notice must be provided to the School Administration. 

8.8.2. In both cases, no refunds will be issued for unused lessons.

8.9. Technical Requirements: 

8.9.1. Students must have Zoom or Microsoft Teams installed and set up prior to lessons. 

8.9.2. Students are responsible for ensuring a stable high-speed internet connection. 

8.9.3. A laptop or PC with headphones and a microphone is strongly recommended.

GENERAL PROVISIONS

9. Lesson Observation

To ensure quality control, the School reserves the right to observe or record any in-person or online lesson. Recordings are used exclusively for internal purposes and are not distributed.

10. Complaints

10.1. All complaints and dissatisfaction should be submitted during the student's period of study at the school, in person or in writing. Refunds will not be given and substitutions will not be made as a result of complaints and dissatisfaction registered with the administration after the student has completed their studies. 

10.2. Students complete feedback forms at the end of the first and last weeks. If the student expresses dissatisfaction with any matter relating to the school or their stay, the student will be asked to complete another feedback. If any questions or concerns arise, students can personally report this to any of the staff.

11. Discipline

11.1. The student is obliged to comply with the laws of Ukraine, to observe proper and respectful behavior on the territory and within the boundaries of the school, not to use drugs or alcohol on the school territory, and to treat the school property with care. In the event of damage to the school property by the student, he or she is obliged to fully compensate for the damage. 

11.2. Eating in classrooms is strictly prohibited at any time. 

11.3. If the Student violates the laws of Ukraine or demonstrates an indisputable violation of ethical standards, the School reserves the right to terminate the contract with the student and expel him/her from any courses. In this case, the funds will not be refunded.

12. Photos and Videos

12.1. The student agrees that photos and videos taken by the School may be used for promotional purposes. In case of objection, the student must notify the School in writing in advance.

The School reserves the right to amend the stated above Terms and Conditions at any time. Updated versions will be published on the School’s official website or otherwise communicated to students.
